CMK Legalisation

Our founder, Neil Jopson, was in practice as a solicitor for 35 years. We are fully aware of the needs and pressures of private practice. Unlike couriers, as your agents, we will examine each document submitted to us for human errors, such as no signature, no seal, no date, photocopies of G.R.O. certificates, etc., and will then contact you to obtain your authority to rectify them if we can. Our fees start at £25.00 plus VAT for up to 3 documents for one client, plus FCDO fees. 

If we have your client’s document by 11.00 am on a working day, we will have it legalised and ready for collection by 2.00 pm on the next working day.

What we do

Our Terms

  • We will act as your clerk / agents in receiving documents for legalisation; take them to the Legalisation Office in Milton Keynes to be dealt with under the FCDO. 24 hour Business Drop Off Service; collect them with the apostille the next working day; and post the documents back to you in your stamped and addressed envelope or by any other form of postage or courier that you may request and pay for. Time shall not however be  of the essence, nor shall we be responsible for any act or omission by the Legalisation Office, Royal Mail or any courier.
  • We will check your documents you for patent errors which may prevent legalisation; list them for the FCDO and pay the FCDO fee on your behalf. We will try and resolve any problems with the documents with you for no extra fee  even if they require re-submission.
  • While we will do our best to spot errors, we regret that we are unable to accept responsibility for acts and omissions  by our notary clients, or by any other notary or solicitor, and if a document is denied legalisation because of any such act or omission, then the notary client will be responsible for any additional fee on resubmission.
  • As we have to pay the FCDO fees before we can lodge a document for legalisation, we ask for payment upon delivery to you of our invoice. We will send this by email upon receipt of your order. Please quote our invoice number when making payment.
  • Our Bank Details will be supplied upon request.
  • You may also pay by debit or credit card, but only if you agree that there will be an administration fee of £5.00. to cover the card company charge to us, which not only reduces our fees, but those payable to the FCDO. Please contact us with your card details or ask us to send you a payment link.
  • While we will use our best endeavours to resolve any issues, we cannot accept any responsibility for ensuring that your documents meet the requirements of either the FCDO Legalisation Office, or any Foreign Embassy or Consulate.
  • We will, upon request and at no charge, scan the Apostille and email it as you may wish. Due to the volume of documents we receive we cannot undertake to scan the whole of a document, and rely on the notary to have done this beforehand.

How to Order

  • For Notaries (and Solicitors) we have no special requirements although we will supply a bespoke order form in Word if this is easier for you. Just write to us on your headed notepaper telling us what you are sending us and what you want us to do. We do not accept cash or cheques and will furnish you with our bank details to enable you to make payment. Our scale of charges (VAT inclusive) is below.

Our Fees

  • Our basic fee is £25.00 plus. VAT for each for each ONE of your client transactions with up to 3 documents per clientA client is the person or persons or body who are the Appearer.
  • For each additional document over the first three per client, there will be an additional charge of £5.00 plus VAT per document up to 10 further documents. For 14 – 30 documents add £4.00 plus VAT each; for 31 – 50 documents add 3.00 plus VAT each. Thereafter’ please contact us to agree a figure.

FCDO Legalisation Fees

  • The additional FCDO Fees are currently £40.00 per document.

Standard Return Postage

  • For standard return postage and packing, (not recommended) as we do not use the DX please supply a franked or stamped First Class return envelope and we will obtain proof of posting. Needless to say that we are not responsible for any delays, difficulties or losses occasioned by Royal Mail. Documents which are posted by untracked post are done so at the clients own risk.

Other Postage and Packing (Inclusive of VAT)

  • We will prepare additional post and packing to return documents to you or your client by post or DHL. Documents are returned at the clients risk.
  • If you wish us to attend to both postage and packing:-
  • We will send by Recorded Delivery (“Signed For”) for packages of up to 500g for £10.00. 
  • We will prepare and post using secure and tamper proof Special Delivery envelopes at a minimum charge of £15.00 for packets up to 500g.
  • We charge an additional £16.00 for International Signed For post weighing up to 100g.
  • We can send documents up to 200g by DHL Express courier at £20.00 for the U.K; £46.00 for the E.U.; £48.00 for Non-EU Europe (Inc. Turkey & Canary Islands) ; £50.00 for the U.S.A., Canada, and Mexico and £60.00 for the Rest of the World. The DHL packet that documents are sent in have a pro forma customs declaration that they are indeed documents. We cannot send other items.

Indemnity

  • Finally, as we have to, we record that it is a term of our retainer that as at all times we shall be acting as your servants or agents, just as if we were part of your office staff, and as such act under the umbrella of your professional indemnity policy.
  • We shall not be responsible above the level of our fees for any loss or damage, and in instructing us you agree that this is reasonable, and further agree to indemnify us against all actions proceedings costs claims and demands of whatsoever nature and howsoever arising out of or in connection with your instructions to us.

Data Protection

  • We confirm that client information you provide will only be used to carry out your instructions in obtaining legalisation of the clients documents, and either returning them to you or to a third party by post or courier using only such information as the postal service or courier needs to deliver the documents.
